Hall Hire Policy

Introduction

The charitable aim of the Village Hall Committee is to provide and maintain a facility which benefits inhabitants of the communities of Llanmadoc, Cheriton and Landimore.

In setting guidelines for charges for the hire of the facility or loan of equipment, the committee has considered how particular types of events or users contribute to this aim the charges made for similar facilities in the area a desire to maximise the use of the hall contribute towards hall running costs.

This policy is intended to allow flexibility, to take the particular circumstances of a booking into account, while providing guidelines to ensure a consistent, fair approach.

Charges are set for four main types of hire:

  1. Community groups, local charities and local non-profit organisations
  2. Private events and one-off non-charitable events held by or for local people (e.g. private parties)
  3. Profit making activities of direct and obvious benefit to local residents (e.g. exercise classes)
  4. Other commercial uses.

Pricing Policy and Guidelines for Hire of Llanmadoc & Cheriton Village Hall Facilities and Equipment

The starting point for calculating the hire rate per hour has been to take the annual cost of maintaining the facility and dividing this by the number of hours the hall is used for bookings and events. This gives a rate per hour of £12.50*

Should a booking be required for more than 3 hours, a flat rate of £40 is charged for up to 4 hours. For bookings in excess of 4 hours, the Booking Secretary will liaise with the Hall Committee for a cost.

The Hall Committee reserves the right to charge a commercial rate for certain events for example: weddings, private event not open to the community.

‘Hire of the Hall’ includes use of the main hall and front stage area only (the area in front of curtains). It also includes use of tables and chairs and the use of portable appliances in the kitchen. The use of larger appliances can be discussed with the Booking Secretary.

Hire of the ‘Whitford room’ includes access through the hall.

The hire of the hall does not include use of the bar or use of the sound stage and lighting equipment. As a licensed premises the bar can only be run by a member of the hall committee.

Additional charges will be applied for the use of certain equipment, including (but not limited to):

Projection, Sound and Stage Lighting Equipment (operated from the audio-visual cage).

Equipment Hire

‘Hire of equipment’ covers equipment which may be use by residents of Llanmadoc, Cheriton and Landimore off the premises. This includes tables, chairs, glasses, crockery, cutlery, tablecloths (but not larger electrical appliances or equipment that could be easily damaged).

Availability will depend on whether it is required for a Hall booking or event. The hire charge will be determined by the Hall Committee. Booking of the equipment hire must be made in advance and an undertaking made to cover the cost of any loss or damage.

Hirers are reminded that equipment designed for indoor use, must not be used outside.

Review of Charges

The Hall Committee reserves the right to make changes to all charges within a 3 month notice period.

A damage bond of up to £500 may be applied, and must be paid in advance for certain types of hire.

The Booking Secretary will agree charging rates on behalf of the committee, within the guidelines stated in this policy.

Charges for bookings that do not fit into one of the categories identified should be discussed with the Booking Secretary who will bring it to the committee to discuss.

Any person hiring the hall will be required to sign a Hall Hire agreement & checklist form.
